Why export your Outlook contacts?

This is a very good question. If you are already using the Dynamics 365 Outlook app, you know that you’re able to sync Outlook to Dynamics with the click of a button, so why export your contacts?

Let’s think about someone getting Dynamics for the first time (or, their company has just installed Outlook as an app). In this situation, they may have hundreds of contacts in Outlook that they would like to move to Dynamics. If they use the app, this would need to be done one by one.

A more time effective method is to pull them all into a CSV file and then (if you have import) or your system administration can simply ‘suck’ them straight into Dynamics. Can you see how this would save time?

Step by Step

With Outlook open, select ‘File’ located in the top left of the screen. This will open a new menu. From here, select ‘Open & Export’.

Clicking ‘Open & Export’ will open a new pop-up window. From there, select ‘Export to a file’.

This gives you two options for creating a ‘file of type:’. Select ‘Comma Separated Values’.

This will open a new page where you’ll be asked where it is you want to export from. You might need to scroll either up or down but find where it says ‘Contacts’ and choose the file you’d like to import to Excel and then click ‘Next’. You’ll have the option to input the name of the file and once you’re happy, press ‘Next’ again.

Once you’re happy, select ‘Finish’ and your contacts should have been exported into Excel!
